GOOD TO KNOW
A little preparation.
A much clearer start.
Useful checklists to help you brief a project, review the result and choose the right digital files.
GUIDE 01 / INVITATIONSThe wording checklist.
Prepare a single, proofread version of the information. A useful order is:
- Host or family line, if wanted.
- Names exactly as they should appear.
- Occasion and event title.
- Day, date, time and relevant time zone.
- Venue name and address, or online joining information.
- RSVP details and deadline, if included.
- Dress code, access details or a short additional note.
Confirm whether more than one event, language or layout is needed. Share only the details needed for the current stage of work.
Read examples and the complete checklist ↗GUIDE 02 / VIDEOBrief a video in six answers.
- Purpose: what should the viewer understand or do?
- Destination: story, reel, message, website or another placement?
- Length: what is the intended duration?
- Materials: what original clips, photos, logo and wording do you have permission to use?
- Audio: silent, voiceover or music with suitable rights?
- Deadline: when is the final file needed, and who approves it?
One reference can explain pacing or mood. It is a reference, not permission to copy someone else’s work.
Watch the actual demos ↗GUIDE 03 / SPREADSHEETSShare the problem, not the private data.
- Save an untouched backup and make a separate review copy.
- Replace names, email addresses, phone numbers and account details with fictional values.
- Check hidden sheets, comments, links, file properties and named ranges for private information.
- Keep representative rows and the formulas needed to reproduce the issue.
- Describe what you expected, what happened and the app/version you use.
- Agree on the sharing method before sending the file. Never include passwords in an enquiry.
Removing visible names alone may not anonymise a workbook. If the file contains sensitive or regulated information, describe the issue first.
Describe the issue ↗GUIDE 04 / DELIVERYThe right file for the right purpose.
- PNG / JPEG
- Useful for digital invitation images and covers. The correct dimensions matter; a preview is not automatically a print file.
- PDF
- Useful for a fixed layout. Digital viewing and professional print preparation are different scopes.
- MP4
- A common video delivery format. Duration, resolution, aspect ratio and audio are agreed for the intended placement.
- XLSX
- An editable workbook. Check software compatibility and keep formulas intact unless you understand the effect of changing them.
- Editable source
- The native design or editing project. It is included only if agreed, and may depend on separately licensed fonts or software.
